Who these terms are for Trimbl is operated by Zalek Labs Ltd, a company registered in England and Wales, number 17414810, at 66 Paul Street, London, England, EC2A 4NA. Contact us at hello@trimbl.app. These terms govern the business booking and management software we provide, including a trial or complimentary workspace. When you create a workspace and accept these terms, you enter this agreement for your business. You must be at least 18 and authorised to act for it. Trimbl business subscriptions are for trade, business or professional use. Your selected plan, the price and payment terms shown before purchase, and the data-processing schedule below form part of this agreement. Customers booking an appointment do not become subscribers to Trimbl. The appointment contract is with the named business, which supplies the service and sets its prices and booking conditions. Our customer-use section below explains the role of the platform. Nothing here removes a consumer’s statutory rights. 2. Your workspace and responsibilities We provide access to the features available on your plan while your workspace is active. Some features require a separate provider connection, account verification, credits or explicit activation. Publishing your booking page makes the business details you choose to publish accessible to visitors. Keep your business and contact details accurate, protect sign-in credentials and give staff only the access they need. You are responsible for authorised activity in your workspace, keeping service availability accurate, honouring bookings, and meeting the legal, licensing, insurance and safety requirements for your work. Tell us promptly if you suspect unauthorised access. You retain ownership of your business content and customer records. You give us permission to store, process and display them only as needed to provide and protect the service, follow your instructions and comply with law. You must have the rights and permissions needed to upload content, import contacts and publish images or logos. Do not use Trimbl for unlawful services, unsolicited messaging, misleading offers, malicious code, unauthorised access, interference with other users or attempts to bypass security, payment or usage controls. Do not put payment-card details or unnecessary sensitive information in customer notes. 3. Trials, subscriptions and cancellation The standard trial lasts 30 days from publication of your business. Creating a workspace does not itself charge a card. Starting a paid subscription requires a separate checkout. Complimentary access, if granted, follows the scope and duration communicated to you. Your workspace shows the trial deadline. We schedule owner emails seven, three and one day before it, at expiry and at the end of the three-day grace period; delivery is not guaranteed. Without an active subscription or complimentary access, new bookings pause after that grace period. Existing appointments, customer records, exports and billing remain accessible. Activating a valid subscription restores new bookings. If you subscribe before your trial ends, checkout preserves the remaining trial rather than charging early. Close to expiry, Stripe’s minimum trial period can give you a short additional free period. The first charge date is shown before checkout and by Stripe; completing checkout authorises the recurring payments shown there. Current monthly plans are Solo at £19 for one active bookable professional, Team at £39 for up to five, and Scale at £69 for up to twelve, per business. SMS credits are separate. Zalek Labs Ltd is not currently VAT registered and does not add VAT to these prices. The checkout shows the amount and billing interval you agree to pay. Paid subscriptions renew monthly until cancelled. Manage payment details, invoices, plan changes and cancellation through Settings → Plan & billing. The payment page or customer portal shows any charge, credit or effective date for a plan change. Cancel before the next renewal to prevent that renewal; the displayed cancellation date determines when paid access ends. Contact us if you cannot access the portal. Cancelling a subscription does not cancel your customers’ appointments or refund their payments. Arrange those separately with your customers. It also does not itself request deletion of your business records. Contact us before closing your workspace to arrange an export and any required deletion. Contact hello@trimbl.app promptly about an incorrect charge or a service problem. We will investigate and correct billing errors and provide any refund required by law or agreed with you. We will communicate a proposed subscription price increase before it takes effect, giving you the opportunity to cancel before paying the new price. 4. Email, SMS credits and automatic top-ups Appointment messages and marketing are separate choices. You must have a valid legal basis for each communication and respect the customer’s recorded preferences and opt-outs. Imported contact details are not evidence of marketing permission. Do not use another channel to circumvent an opt-out. SMS uses a separate prepaid balance. Current packs are 100 credits for £12, 250 for £28 and 500 for £56. One credit covers one SMS segment. The selected pack price is shown before purchase; existing credits retain their segment value. One long text, or a text containing certain characters, can use several segments. Estimates are shown where available; delivery is not guaranteed. Credits are deducted when the provider accepts a message, so a later delivery failure does not automatically restore them. Messages rejected before acceptance are not charged as accepted messages. Automatic top-ups are optional and off until the owner explicitly enables them and authorises a payment method. You choose the threshold, pack and monthly automatic-spend limit. If your balance is already at or below the threshold, a purchase can follow activation. Manual purchases are separate from that limit. Turning automatic top-ups off prevents new automatic purchases; a payment already submitted may still complete. A changed SMS price requires renewed top-up consent. Keep sufficient credits for the messages you enable. A low balance, invalid number, withdrawn consent or provider restriction can prevent sending. A delivery receipt is a provider report, not proof that a person read or acted on a message. Contact us about unused credits when closing your workspace so we can review the balance and any outstanding or reversed payments. Trimbl uses a shared sending number. Replying STOP stops texts from all businesses using that number. START unblocks the number with the provider but does not automatically restore marketing consent or the customer’s Trimbl text preferences. 5. Optional customer payments Connecting a Stripe account for booking payments is optional. If available and enabled, you can choose payment at the venue, a deposit or payment in full for individual services. Your Stripe account and its eligibility are subject to Stripe’s separate terms and checks. The connected business is the seller and receives its customer payments through its own Stripe account. Stripe processing fees apply. Trimbl’s current booking-payment implementation adds no booking commission. Your Trimbl subscription and SMS purchases are separate platform charges. You must clearly explain prices, deposits, outstanding balances, cancellation terms and refund rights to customers before they book. You manage refunds, disputes and payouts in Stripe. Cancelling or moving an appointment in Trimbl does not automatically issue a refund. Disconnecting Stripe does not remove existing payment obligations. 6. Suggestions, travel, offers and loyalty Diary suggestions, reports and InteliTravel help you plan; they do not guarantee attendance, revenue, journey times or the best possible route. Check addresses, access requirements, working hours and current travel conditions. You remain responsible for safe travel and allowing adequate time between visits. Google Maps features are also subject to the linked Maps terms. Suggested booking changes require your review. Obtain the customer’s agreement before confirming a change on their behalf. Route suggestions and contact-app handoffs do not themselves prove that a customer has agreed or that a message was sent. You set and honour the terms of your campaigns and loyalty programmes, including eligibility, qualifying visits, benefits, limits and expiry. Show those terms clearly before participation. Do not retrospectively remove earned benefits contrary to your customer agreement or applicable law. Where available, customers can optionally save a loyalty pass to Apple Wallet or Google Wallet. These passes use the provider’s layout and show a copy of the business’s loyalty record. Updates depend on provider availability and device connectivity; the current Trimbl record determines progress and redemption eligibility. Scanning a pass does not redeem a reward automatically. Saving a pass does not give permission for marketing. Maps terms: https://trimbl.app/maps-terms 7. For customers making bookings Use accurate contact and booking details and keep verification codes and private management links secure. Review the named business, service, location, full price, payment due now and booking conditions before confirming. Contact the business directly about its service, rescheduling, cancellation, refunds or loyalty rewards. A payment or sign-in redirect alone is not confirmation of a paid booking; check the booking status displayed by Trimbl. You can contact hello@trimbl.app for problems with the platform or help identifying the relevant business. Marketing is optional. Your communication settings do not change your consumer rights or your booking contract. A missed reminder does not itself cancel an appointment. We do not limit any rights you have against the business or against us under applicable consumer law. 8. Service, support and responsibility We will provide Trimbl with reasonable care and skill. Contact hello@trimbl.app for support. We may need to maintain, update or temporarily interrupt the service; no specific uptime or response-time commitment applies unless separately agreed in writing. External sign-in, maps, payment and messaging services can also be interrupted. We are responsible for loss caused by our breach of this agreement to the extent required by applicable law. We do not accept responsibility for the quality of a business’s appointment service, its failure to honour a booking, or information supplied by that business. Each party should take reasonable steps to limit avoidable loss and promptly report problems. Nothing in these terms excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded. These terms do not impose a contractual cap on liability or remove statutory remedies. 9. Suspension, closure and changes We may restrict access or sending where reasonably necessary to protect users, investigate misuse, comply with law or provider requirements, or address overdue payment. Where practicable, we will explain the reason and give you an opportunity to put it right. Urgent security or legal circumstances may require immediate action. Contact us to ask for a review. You can ask us to close your workspace. We will help arrange return or deletion of business data as described in the schedule below. Ending access does not remove fees already properly incurred or obligations relating to existing appointments, payments or data protection. We will make revised terms available with a new version date and communicate material changes before they apply. Changes are not applied retrospectively to settled charges or existing accrued rights. Where a material change requires agreement, we will ask for it. You can contact us or cancel a renewal if you do not wish to continue under revised commercial terms. English law governs this agreement. Business subscribers and Zalek Labs Ltd submit disputes to the courts of England and Wales. For consumers, this does not remove mandatory protections or the right to use courts available under the law of their home jurisdiction. Please contact us first so we can try to resolve a concern. 10. Data-processing schedule For customer and staff records processed on your business’s behalf, your business is the controller and Zalek Labs Ltd is the processor. This schedule is part of our agreement. We act separately as controller for platform account administration, our billing, security and support as explained in the privacy notice. The processing covers hosting, organising, retrieving, displaying, transmitting, maintaining and deleting records to provide the booking and business-management features you use, for the duration of the service and any necessary return or deletion process. People concerned include your customers, prospective customers, staff and other contacts. Data includes identity and contact details, addresses, booking and payment references, service history, notes and submitted images, preferences, consent, loyalty and communication records. Optional notes or preferences may contain sensitive information; the business must minimise this and establish the additional legal condition required. We process this data only on your documented instructions, including your authorised use of the product and support requests, unless law requires otherwise. We will tell you about a legal requirement before processing unless the law prohibits that notice. We will inform you if we believe an instruction infringes applicable data-protection law. We do not use your customer records for our own advertising. We will ensure people authorised to process the data are bound by confidentiality; implement appropriate technical and organisational security measures; and assist you, taking account of the processing and information available to us, with individual rights requests, security obligations, breach assessment, impact assessments and regulatory consultation. We will notify you without undue delay after becoming aware of a personal data breach affecting data processed for you and provide available information to support your response. You give general authorisation for the service providers listed below to process data necessary for their functions. We will give advance notice of a proposed new or replacement sub-processor so you can raise a reasonable data-protection objection before its engagement. We will work with you to resolve an objection, including discussing an alternative or ending the affected feature. We will bind sub-processors to equivalent data-protection obligations and remain responsible to you for their performance of those obligations. Processing outside the UK must use the applicable lawful transfer mechanism, such as adequacy or appropriate contractual safeguards, and follow your documented instructions. The privacy notice describes current hosting regions and provider transfer information; a European hosting region alone is not a promise that all processing stays in Europe. At the end of the service, at your choice, we will return or delete the personal data processed for you and delete copies unless law requires retention. Contact us to arrange the format and secure delivery of a return. We will explain any legally required retention and restrict use to that purpose. Signing out, cancelling a plan or disconnecting a provider is not a deletion request. We will make information reasonably needed to demonstrate compliance with this schedule available to you and allow and contribute to audits, including inspections, by you or an auditor you appoint. Coordinate audits with us to protect other customers’ information and security; this does not restrict a regulator’s powers or your statutory rights. Contact hello@trimbl.app for processing instructions, security information or an audit request. • Render: application, database and file hosting. • Resend: email delivery and delivery information. • Twilio, when enabled: phone verification, SMS content and delivery/opt-out processing. • Google Maps Platform, when enabled: address lookup, geocoding and route calculation; Google’s separate terms and roles also apply. • Stripe and Google/Apple sign-in also receive information for the connected payment or identity services under their own terms. Apple Wallet and Google Wallet receive pass information when a customer chooses to save a pass, as explained in the privacy notice.
